Notary Hero provides online notarization-related services, appointment coordination, education, and customer support. This Privacy Policy applies to information collected through our website, online forms, email, phone, and SMS/text messaging.

Important: Notary Hero may work with third-party platforms and service providers (for example, identity verification, payment processing, scheduling, email/SMS delivery, and document tools). We only share information as needed to provide services.

  • Service details (appointment preferences, transaction details, support requests, messages you send us).
  • Billing and payment info (handled by payment processors; we may receive limited payment-related metadata).

SMS Opt-In: If you choose to receive text messages from Notary Hero, LLC, you are providing express consent to receive SMS messages at the number you provide. Opt-in is collected via an unchecked checkbox on our contact form at notaryhero.com/contact.

What texts you may receive

  • Non-marketing messages: appointment confirmations, reminders, rescheduling updates, document signing notifications, service status updates, and customer support responses.
  • Marketing messages (optional): special offers, discounts, and promotions — only if you separately opted in.

How we use SMS data

  • To send you the messages you requested and provide support.
  • To maintain records of your consent (opt-in timestamp, source, and preferences).
  • To measure delivery and engagement (for example, whether a message was delivered).

Opt-out, help, and message frequency

  • Opt-out: Reply STOP to any message to unsubscribe. You will receive a final confirmation text and no further messages will be sent.

Fees and carriers

  • Message and data rates may apply depending on your mobile plan.
⚠️ Carrier Liability Disclaimer: Carriers are not liable for delayed or undelivered messages. Delivery of SMS messages is subject to your mobile carrier's network coverage and availability.

No sale of SMS opt-in data

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

5) How We Share Information

  • Service providers: vendors who help with website hosting, analytics, scheduling, payments, email/SMS delivery, customer support, document tools, and CRM systems.
  • Legal and compliance: if required by law, subpoena, court order, or to protect rights, safety, and prevent fraud.
  • Business transfers: in connection with a merger, acquisition, or sale of assets (with appropriate protections).
  • With your direction: when you ask us to share information with a specific third party.

We do not sell your personal information in the traditional sense. (If your state law defines "sale" broadly, you may still have opt-out rights—see Section 9.)

Notarization of Minors: Notary Hero may notarize documents for individuals under 18 years of age, provided the minor:

  • Has valid, government-issued identification that meets state law requirements;
  • Appears willing and aware of the document being notarized; and
  • Meets all legal notarization standards required under applicable state law.

If a minor is receiving services, a parent or legal guardian must schedule and agree to these Terms on their behalf where required.

11) International Users

If you access our services from outside the United States, your information may be transferred to, stored, and processed in the U.S. By using our services, you understand and agree to this transfer as permitted by law.

12) Changes to This Policy

We may update this Privacy Policy from time to time. We will update the "Last updated" date above and, if changes are material, we may provide additional notice.
